Learn how to add and store your permits in Traffio

Many jobs require approved permits from government authorities. The permit section provides a convenient way to store and manage your client-specific permits. You can also set permit validation dates, allowing the system to track their status and alert you when a permit is nearing its expiration.


Permit Issuer

Before creating permits, you must first set up permit issuers within the system. By adding permit issuers, you can define custom notification periods, set default costs for obtaining permits from a specific organization or council, and link them to an item classification for invoicing purposes.

How To Create a Permit Issuer

  1. Navigate to Plans/Permits on the sidebar

  2. Select Permit Issuer tab

  3. Click +New

  4. Add the Permit Issuers Name, Abbreviation, Item Classification, Default Cost, Notification Period and any Description.

  5. Select Permit Issuer State

  6. Click Create


How To Add a Permit

  1. Navigate to Plans/Permits on the sidebar

  2. Select Permits tab

  3. Click +New

  4. Select Permit Issuer, Client and Project

  5. Add Permit Code

  6. Add Permit Cost, Person Responsible, Purchase Order and Description (optional)

  7. Specify Location for the permit (optional)

  8. Set the Date Range Permit is Valid From and To

  9. Toggle on Custom Validity Times to specify validity periods per day of the week

  10. Click Create
    ​

Once a permit has been created, you can add any relevant documents needed.

Please note, permits are client specific. Meaning that a permit can only be used on bookings for the client that the permit is assigned.

Custom Validity Times:

You can set custom validity times for permits based on the day of the week.
For example, a permit might be valid all day from Monday to Friday, but only between 12pm and 5pm on Saturdays, and from 10am to 2pm on Sundays, etc.

You can define up to two validity time frames per day. For instance, a permit could be valid on Mondays from the start of the day until 6am, and again from 8pm until the end of the day.

Adding a Permit to a Booking

  1. Navigate to Bookings on the sidebar

  2. Create a Booking

  3. Once crated, select Req. Permits tab

  4. Click +New

  5. Choose Permit Issuer

  6. Click Create

  7. Select Permit from the drop-down menu linked to the client (or click the plus button to create a new permit)

  8. Click Save
    ​

The permit will then be reflected on the bookings board.
