How booking templates are used within tasks

Booking templates allow you to group items (resources) and tasks together. These templates can include just items, just tasks, or both.

Items can be individual resources or groups based on classifications (like billing modes). For example, a booking template could include different item categories, such as lights, clamps, signs, and stock equipment, each with its own billing rule. This helps you quickly assign all necessary items for a package.

You can also assign multiple tasks to a booking template. For example, a booking template might include setup, pack-down, and recurring tasks like inspections or audits to ensure site compliance.


How To Create a Booking Template

  1. Navigate to Admin on the sidebar

  2. Go to the Booking Templates tab

  3. Click +New

  4. Add Booking Template Name

  5. Select and indicate the quantity of the relevant Resources

  6. Toggle on or off item classification (is the item billable or non-billable)

  7. Click Create

  8. Click +New task template (if you want to include actions for the field worker to complete in this booking template)

  9. Select the Task Type

  10. Toggle on if the task is Non-Billable

  11. Enter Description

  12. Enter Required Amount of People required for the task

  13. Enter the Approximate Start Time and Duration

  14. Toggle on 'Repeating Task' (If so - indicate if it is repeated daily, weekly or monthly)

  15. Click Create


Assign Booking Templates To a Booking

A single or multiple booking templates can be added to a booking in order to create a standardised list of resource items and tasks quickly for the booking. In the booking, you need to choose whether it is a regular booking (standard shift work) or a hire booking (where requirements may change over time).

For Regular Bookings:

  1. Navigate to Bookings on the sidebar

  2. Enter Booking information

  3. Under Booking Type, select Regular Booking

  4. Select Booking Template from dropdown list

  5. Click Create

For Hire Bookings:

  1. Navigate to Bookings on the sidebar

  2. Enter Booking information

  3. Under Booking Type, select Hire Booking

  4. Select Booking Template from dropdown list

  5. Under Hire Requirements section and click +New

  6. Select the Time Overrides (if the start/end date and times are further within the booking start/end times)

  7. Add in a Title and Description

  8. Select a Booking Template

  9. Alter the quantity of resources (if required)

  10. Alter the task instances (if required)

  11. Click Create
