IntelliHR Integration

This article explains the Humanforce IntelliHR integration for Traffio.

The IntelliHR integration keeps selected people, employment details and qualifications aligned with Traffio.

Before importing people, configure the connection and complete your mappings. This helps prevent duplicate people, incorrect depot assignments, and missing specialisations or qualifications.

Glossary:

  • Sync: Pull IntelliHR entities into Traffio, ready for mapping. This does not create or update anything within Traffio.

  • Import/Update: This means creating Traffio entities if no relevant mappings exist, or updating existing Traffio entities if relevant mappings exist, respectively.

Connection settings

Tenant Name

Enter the IntelliHR Tenant Name associated with your API key. Use the tenant name generated for the API connection, not an alias or display name.

The Tenant Name is locked after the connection is established. This prevents an existing connection from accidentally being linked to another IntelliHR tenant.

API Key

Enter an active IntelliHR API key with access to people, jobs, locations, position titles and qualifications.

Your API key is encrypted and stored securely in Traffio. You can update it later if it is rotated or revoked in IntelliHR.

Last Synced

Last Synced shows when the last complete manual synchronisation finished successfully.

Use this to confirm when Traffio last completed a full refresh of the connection. A failed or incomplete sync does not update this time.

Position Title Filter

The Position Title Filter determines which IntelliHR jobs are eligible to sync people into Traffio from, and to create new Traffio people from.

Select the position titles you want Traffio to import. For example, you may include operational employees while excluding office-only roles.

This setting affects new imports as follows:

  • An unmapped IntelliHR person is only imported if they have an active, primary job with a position title included in the filter.

  • A person already mapped to Traffio can still be updated from their mapped IntelliHR job, even if their position title is later removed from the filter.

  • Changing the filter does not remove existing Traffio people or mappings.

  • After changing the filter, run Sync for Mapping and review mappings before using Sync & Import/Update.

Default Person Depot

Select a Default Person Depot before importing people.

When Traffio creates a new person from IntelliHR:

  • If the person’s IntelliHR Location is mapped to a Traffio Depot, Traffio uses the mapped Depot.

  • If their Location is not mapped, Traffio uses the Default Person Depot.

This is a fallback for newly imported people only. Changing this setting does not move people who already exist in Traffio.

Enable IntelliHR Webhooks in Traffio

Enable this setting to let Traffio receive and process supported real-time changes from IntelliHR. Webhooks help keep mapped records current between manual syncs.

Traffio maintains webhooks for:

  • Person updates and deletions

  • Job creation, deletion, timeline updates and effective-date updates

  • Qualification creation and updates

Do not delete or disable Traffio webhooks in IntelliHR

Once the integration is connected, Traffio manages the webhooks it requires. Do not manually delete or disable these webhooks in the IntelliHR portal.

When Traffio checks webhook status:

  • If a required webhook has been deleted in IntelliHR, Traffio recreates it automatically.

  • If a required webhook has been disabled in IntelliHR, Traffio displays a message that some webhooks are disabled. Re-enable the affected webhook in the IntelliHR portal.

  • If all required webhooks are present and enabled, Traffio confirms that they are enabled.

Turning off Enable IntelliHR Webhooks in Traffio stops Traffio from processing incoming events, including events already waiting to be processed. It does not delete the webhooks from IntelliHR.

What happens when a webhook is received

When webhooks are enabled:

  • Person updated: Traffio updates the matching mapped person’s personal details, including contact and address information.

  • Person deleted: Traffio soft-deletes the matching mapped Traffio person.

  • Job created: Traffio may import a new person when the job is active, primary and matches the Position Title Filter. It does not create a duplicate where the person is already mapped.

  • Job timeline or effective dates updated: Traffio refreshes the mapped person’s employment-related details from their authoritative job.

  • Job deleted: Traffio marks the stored IntelliHR job as inactive.

  • Qualification created or updated: Traffio creates or updates the person’s Traffio Skill only when both the IntelliHR qualification and the person are mapped.

Webhooks complement, rather than replace, manual synchronisation. Run Sync & Import/Update after initial configuration, bulk changes, mapping changes, or whenever you need a complete reconciliation.

Recommended setup order

  1. Enter and save the Tenant Name and API Key.

  2. Configure the Position Title Filter and Default Person Depot.

  3. Run Sync for Mapping.

  4. Complete People, Position Titles, Locations and Qualifications mappings.

  5. Run Sync & Import/Update.

  6. Enable webhooks for ongoing real-time updates.

Sync for Mapping

Sync for Mapping is the preparatory manual sync. It retrieves IntelliHR records into Traffio so they can be reviewed and mapped. It does not create or update Traffio people.

The main Sync for Mapping button synchronises:

  • Position Titles

  • Jobs and associated people

  • Locations

  • Qualification Library Items

You can also synchronise an individual entity type:

  • Sync Jobs — refreshes jobs and people available for People mapping.

  • Sync Position Titles — refreshes position titles available for Position Titles mapping.

  • Sync Locations — refreshes locations available for Locations mapping.

  • Sync Qualifications — refreshes qualification library items available for Qualifications mapping.

Use an individual sync when you have changed one entity type in IntelliHR and need to update only that mapping list. Use the full Sync for Mapping before your first import, after changing the Position Title Filter, or after broader changes in IntelliHR.

If an IntelliHR position title, location or qualification library item no longer exists, Traffio removes it from the available source records and clears any mapping that depended on it. Review your mappings after significant IntelliHR data changes.

Mapping explained

A mapping tells Traffio which Traffio record represents an IntelliHR record. Mappings determine what data Traffio can apply during a sync.

People mapping

A People mapping links an IntelliHR job/person to an existing Traffio person.

Map people before running Sync & Import/Update whenever they already exist in Traffio. This is the best way to avoid duplicate person records.

Mapped

Traffio updates the mapped person from their authoritative active IntelliHR job.

Unmapped

Traffio creates and maps a new person only if they have an eligible active primary job matching the Position Title Filter.

Unmapped and ineligible

No person is created. This includes ended jobs, non-primary jobs, and jobs outside the Position Title Filter.

For mapped people, Traffio can update integration-managed details including name, preferred name, date of birth, email, phone, address, emergency contact, job title, start and end dates, employment type and mapped specialisation.

A mapped person is updated only from the IntelliHR job selected in their People mapping. This is important where a person has more than one IntelliHR job.

If a mapped IntelliHR person is deleted or is no longer returned by IntelliHR, Traffio soft-deletes the mapped Traffio person. Unmapped or unrelated Traffio people are not affected.

Position Titles mapping

A Position Titles mapping links an IntelliHR Position Title to a Traffio Specialisation.

Mapped

The linked Traffio Specialisation is applied from the person’s IntelliHR job.

Unmapped

The IntelliHR job title can still be stored as the person’s job title, but no Traffio Specialisation is assigned by the integration.

Position Title mapping does not determine whether a person can be imported. The Position Title Filter controls eligibility for new people. The mapping controls whether the job title is translated into a Traffio Specialisation.

Locations mapping

A Locations mapping links an IntelliHR Location to a Traffio Depot.

Effect when a new person is imported

Mapped

The person is created in the mapped Traffio Depot.

Unmapped

The person is created in the Default Person Depot.

Location mappings are used when Traffio creates a new person. Updating an existing mapped person does not automatically move them between Depots when their IntelliHR Location changes.

Qualifications mapping

A Qualifications mapping links an IntelliHR Qualification Library Item to a Traffio Skill.

Mapping status

Effect during Sync & Import/Update

Qualification and person are both mapped

Traffio creates or updates the person’s mapped Skill, including issue and expiry dates.

Qualification is mapped but person is unmapped

No Traffio Skill is created because there is no mapped Traffio person to receive it.

Qualification is unmapped

The IntelliHR qualification does not create or update a Traffio Skill.

Only qualifications mapped to Traffio Skills are applied to people. This lets you control which qualification types IntelliHR manages in Traffio.

If IntelliHR no longer supplies a qualification previously synced through this integration, Traffio sets that skill to 'expired'. Skills entered manually in Traffio, or managed by another integration, are not affected

Sync & Import/Update

Sync & Import/Update is the operational sync. It refreshes IntelliHR entity data and then creates or updates eligible Traffio records.

Use this only after reviewing the results of Sync for Mapping and completing your mappings.

During a successful run, Traffio:

  1. Refreshes IntelliHR jobs and the people associated with those jobs.

  2. Updates existing mapped Traffio people from their mapped, active IntelliHR jobs.

  3. Creates and maps eligible new Traffio people that are not already mapped.

  4. Applies mapped Position Title, Location and Qualification rules.

  5. Soft-deletes mapped Traffio people who no longer exist in IntelliHR.

  6. Creates or updates mapped person Skills from IntelliHR qualifications.

  7. Removes only IntelliHR-managed Skills that are no longer present in IntelliHR.

At completion, Traffio shows how many jobs were synced and how many people were imported, updated, skipped or failed.

When to use Sync & Import/Update

Use Sync & Import/Update:

  • After completing the initial setup and mappings.

  • After adding new eligible employees in IntelliHR.

  • After bulk changes in IntelliHR.

  • After correcting mappings and wanting Traffio to apply them.

  • Periodically as a reconciliation check, even when webhooks are enabled.

Before you run it

Confirm that:

  • The Position Title Filter includes only roles that should create new Traffio people.

  • Existing Traffio people have been mapped to their IntelliHR records.

  • Location mappings and the Default Person Depot are correct.

  • Position Title and Qualification mappings are complete for the information you want maintained.

  • You understand that mapped people absent from IntelliHR will be soft-deleted in Traffio.

The safest workflow is:

Sync for Mapping → review and complete mappings → Sync & Import/Update
