Adding a vehicle

The guides shows you how to add and set up vehicles in your Traffio portal

When you first sign up for Traffio, you will have the option to bulk upload your vehicles. Afterwards, to add a new vehicle, you will need to navigate to the vehicle page on the side toolbar and individually add vehicles.

Getting started

Make sure you have access to create a vehicle into Traffio. Contact your Traffio administrator for more about your access, roles and permissions.

How to add a vehicle to Traffio

  1. Navigate to the vehicle page on the side toolbar and individually add vehicles.

  2. From here, select new on the top right-hand side.

  3. Fill in the vehicle details and click create.

Setting Driver License type for a vehicle

Setting the driver's license type for a vehicle will cause the system to warn you when you have set a driver to that vehicle who does not have that required license. This helps prevent you from booking errors.

You can add skills requirements to vehicles. The system will warn you when you have set a driver to that vehicle who does not have that required skill.

Setting an assigned depot to a vehicle.

If you have multiple depots/locations, your vehicles will need to be assigned to the depot that it belongs to.

This will allow the booking board to know not to show the vehicles for irrelevant locations. The system will notify you if you try to use a vehicle from a different depot.

Vehicle registration expiry

A vehicle's registration will be considered expired if its expiration date falls before the selected booking's start date. If a vehicle's registration is considered expired, then:

  • The vehicle cannot be added to a booking - an error message will show if this is attempted.

  • The vehicle will be hidden by default (filtered out) in the booking resources section of the Bookings Board.

  • If a vehicle is already allocated to a booking, and its registration expiry date is changed to be before the booking's start date, a warning message will show on the booking tile that the vehicle is allocated to. Note: In this case, the vehicle will not be automatically removed from the booking it is allocated to.

  • You may filter in/out vehicles by expired registration dates in the booking resources section of the Bookings Board.

Please note: ongoing bookings are currently not fully supported for vehicle registration warnings. The start date of the first booking in an ongoing booking series will be used to compare the vehicle registration expiry against.
