Getting Started

Creating vehicles enables comprehensive monitoring of your fleet, providing you with the tools to efficiently track and manage various aspects of your operations. This includes streamlined scheduling of maintenance tasks, ensuring timely servicing and minimising downtime. Additionally, it allows you to assess the operational performance of each vehicle, including fuel efficiency, usage patterns, and overall productivity.

By centralising vehicle data, you can also enhance fleet safety, optimise routes, reduce costs, and improve decision-making, ultimately driving better performance across your entire fleet.


How To Add a Vehicle to Traffio

  1. Select Vehicle on the sidebar

  2. Click + New

  3. Fill in the vehicle details - Registration, Fuel Type Etc. (yellow fields are mandatory)

    Fill in ODO & service date so Traffio can give you notifications on expiry or services due

  4. Choose how the Vehicle will be billed

  5. Click Create

Setting Driver License type for a vehicle

Setting the driver's license type for a vehicle will cause the system to warn you when you have set a driver to that vehicle who does not have that required license.

This helps prevent you from booking errors.

Setting the required skills to operate a vehicle type

You can add skills requirements to vehicles.

The system will warn you when you have set a driver to that vehicle who does not have that required skill.

Setting an assigned depot to a vehicle

If you have multiple depots/locations, your vehicles will need to be assigned to the depot that it belongs to.

This will allow the booking board to know not to show the vehicles for irrelevant locations. The system will display a notification indicating that the vehicle belongs to a different depot.

Vehicle registration expiry

A vehicle's registration is considered expired if its expiration date is before the booking's start date. When this happens:

  • The vehicle cannot be added to a booking, and an error message will appear if you try

  • The vehicle will be hidden by default in the booking resources section of the bookings board

If a vehicle is already assigned to a booking and its registration expiration date is updated to a date before the booking's start date, a warning message will appear on the booking tile. Note: The vehicle will not be automatically removed from the booking.

You may filter in/out vehicles by expired registration dates in the booking resources section of the Bookings Board.
