Task instances have their own statuses, similar to booking statuses. The below explains the meaning of each status for office workers, clients, and field workers within the app.

Unconfirmed

Office Worker/Scheduler

This status indicates that the task has not yet been confirmed to proceed, either by the company requesting the work or the company scheduling it. For the client, the task is potentially required, but the date and time are still to be confirmed.

Field Worker

Does not show in the Traffio App.

Draft

Office Worker/Scheduler

This status means that the task has been confirmed by both the company performing the task and the client, and is now in the planning phase for allocation.

Field Worker

Does not show in the Traffio App.

Locked

Office Worker/Scheduler

This status means that the task is ready and has been sent to the field worker, either for confirmation or to inform them of the work they need to carry out.

Field Worker

At this stage, the task is sent to the app like a booking notification. Field workers can then accept or decline the task, unless it has already been accepted and allocated to them by the company.

Conflict

Office Worker/Scheduler

This status means that a person has been assigned to the task but is unable to complete it, due to conflicts such as overlapping tasks, bookings, or being on leave. The conflicting person needs to be removed, and a new field worker must be assigned to the task.

Field Worker

In the Traffio App, conflicts will be shown as where the field worker has declined the task.

Active

Office Worker/Scheduler

Active means the task is ready to proceed, similar to Green to Go on the booking board. All necessary allocations have been made and accepted to begin the work.

Field Worker

Active tasks will be marked as Active in the Traffio App.

Complete

Office Worker/Scheduler

This status means the task has been signed off by the Field Worker (and the client, if applicable) and is ready for review before billing (if it is billable).

Field Worker

In the Traffio App, completed tasks are marked as "completed" and cannot be edited by the field worker. It's important to set up forms as mandatory for tasks where needed; otherwise, the task can be marked as complete without the required form being filled out.

Finalised

Office Worker/Scheduler

This status means the task is ready for billing. Before marking a task as finalised, ensure that all compliance documentation and required forms are completed.

Field Worker

Does not show in the Traffio App.

Cancel

Office Worker/Scheduler

This status means the task has been stopped, and all assigned individuals are removed from the task instance.

Field Worker

The Traffio App notifies the field worker that the task has been cancelled through a notification and a red box on the screen.
