Explaining Billing Allowances and how to use them

What are Billing Allowances?

Billing allowances allows you to automatically add line items to an invoice when chosen criteria are fulfilled on dockets/bookings. The main use of this function is to charge clients for allowances found in payroll.

For example:

  1. You can create a rule that checks the docket for LAFHA.

  2. Link that rule to an item classification called LAFHA

  3. Ensure that the item is on your desired rate schedule

  4. Any booking with LAFHA allowances will add LAFHA as a line item to the invoice

Currently, the quantity is based on the person’s total shift duration. For example, if the item classification is charged hourly in the rate schedule, the quantity will equal the full length of that person’s shift.


While charging payroll allowances is one application of this feature, it can also be used flexibly to add any item classification to an invoice based on your chosen rule.

These are the following available rules to choose from:

  • Always (This will always be added to invoice)

  • Someone had a Break / No break

  • Someone had Breakfast / No Breakfast*

  • Someone had Lunch / No Lunch*

  • Someone had Dinner / No Dinner*

  • Someone had LAFHA / No LAFHA

  • Someone has Travel Time / No Travel Time*

  • Outside of radius / Within Radius*

  • Is First Aider / Not First Aider

  • Is Team Leader / Not Team Leader

  • Is STS / Not STS

  • Is Meals Only

*These rules relate to docket configurations you'll need to have toggled on via the Admin Config menu. To learn more about these configurations see below:


Creating a Billing Allowance:

1. Navigate to Billing > Billing Allowances > Click New

2. Give the allowance a name and optional description

3. Select the criteria you want this Billing Allowance to be triggered by

4. Select the Item Classification you want to be added when the criteria is fulfilled

5. Click Create

Excluding and Including Resources:

You can narrow the application of your Billing Allowances by specifying the resources that the rule should exclude or include. By default leaving the inclusive field blank will apply it to all person resources.
