Getting Started
Job dockets are essential for tracking and verifying the work completed by employees in the field. In Traffio, you can easily manage and modify dockets received from employees to ensure the information is accurate and up-to-date. This article outlines how to set up docket configurations, create, edit, and sign off job dockets, and send them to clients for approval, all within the web app or the mobile app.
How to Set Docket Configurations
Navigate to Admin on the sidebar
Go to the Traffio Config tab
Scroll down or search Dockets in the search bar
Select the config you want to change
Change the option in the drop-down menu
Click Save
Types of Docket Configurations
Lock Dockets After Client Signed
Determines whether or not a docket should be locked immediately after client signs it off
Allow Docket Submission From The App
Indicates whether users can submit dockets from the app
Break time Ask For A Comment If Not Default
Whether to ask for a comment if someone's break was not the default break (if there is a default)
Break Time Default
The default break time that should be assigned. This can be based on a threshold (see 'Break time default threshold' config)
Breaktime Default Threshold
The amount of time someone should work before they get the configured default break time - if the default is not 'None'
Break Time Options
Which break time buttons are available inside of the mobile app. (None, 15min, 30min, 45min, 60min)
Display Travel Time Column On Dockets
"Docket total time starts/ends when the worker" and "Docket print - "Total" includes travel time"
Docket Print - "Total" Includes Break Time
Controls whether the 'Break' column is deducted from the displayed total hours on the works docket. This does not affect billing or payroll
Docket Print - "Total" Includes Travel Time
Controls whether the 'Total' column includes the travel time in docket print views and PDFs
Docket Print - Show "Break" Column
Controls whether the 'Break' column is displayed in docket print views and PDFs
Docket Total Time Ends When The Worker:
When does the total time calculation finish at. Options are when they finish on site or return back to the depot
Docket Total Time Starts When The Worker:
When does the total time calculation start from. Options are when they first arrive at depot or leave the depot or start on site
Enforce Mandatory Forms
When enabled, workers cannot provide a reason for not completing forms to submit their docket. They simply cannot submit without all forms being done
Note: you will want to make sure your forms are set up properly
Kilometres Radius Threshold
What is the threshold for the kilometre radius distance calculation?
Only Team Leaders Can Submit Dockets
Controls whether or not docket entry should be restricted to team leaders
Round Times Entered On Dockets Through The Mobile App
Whether or not entered times are rounded to the nearest 15 minutes
Show LAFHA On Dockets
Shows the LAFHA on the docket print views
Show Physical Docket Numbers
Prefer showing physical docket numbers instead of Traffio docket numbers where possible
Show Rain Allowance on Dockets
Shows the rain allowance column on the docket print views
Store Address Entered on Work Dockets
Determines whether to store addresses that were entered on dockets through the mobile app. This address is displayed on invoices. If turned off, the booking's address is displayed instead
Use Arrive at Depot
An extra field for data collection on job docket, when the worker first arrived at the depot
Use Bill From Date
Whether to show the Bill from date box in the mobile app
Use First Break Taken
An extra field for data collection on job docket, when the worker first took a break. Useful when calculating double time override
Use Individual Job Dockets as Default
Should the job docket default to everyone on the team, or just the user
Use Kilometres Radius Distance in Dockets
Should works dockets have a field for distance
Use Leave Depot
Extra field for data collection on job docket, when the worker returns to the depot after the job is complete
Use Return to Depot
Extra field for data collection on job docket, when the worker returns to the depot after the job is complete
Show Vehicle "Friendly Name" on Dockets
Allows you to show friendly name as well as the vehicle registration on dockets
Travel Time Field Inside of Mobile App Dockets
While enabled, the Travel Time field is visible in dockets in the app
Setting Initial Job Docket Number
Navigate to My Company on the sidebar
Choose the My Company tab
Type in the Initial Job docket number
Click Save
Sending Job Dockets to Client Contacts
Navigate to Clients on the sidebar
Click into the desired Client
Press the Contacts tab
Click +New
Fill in the details
Toggle on the 'Always send a copy of job dockets by email'
Click Create
You can also edit your existing client contacts and toggle on the 'Always Send Copy of Job Dockets by Email'.
Manually Create Job Docket on Web App
When a job has been completed, the workers on the field will send through a job docket. If a job docket is not filled out, you can manually create a job docket into the system.
Navigate to Bookings on the sidebar
Select desired booking
Select Details
Select the Dockets tab
Click +New Docket
Fill in the docket details
Click Create
Creating a Job Docket on the Traffio App
Job dockets can be created on the field from the Traffio App. These job dockets allow the app users to fill in their hours, breaks and any job notes.
Select the job desired
Go into Forms
Select +New docket
Enter job start, end time and break time
Press Next Step
If required, you can make changes to people that are added to the docket and adjust their hours
Press Next Step
Fill any additional job details to the docket
Press Next step
Sign off job docket - This will need to be signed off by the employee and client (If the client does not sign the docket tap "No signature provided" and state the reason.)
Click Submit to the Office
Send Job Docket Sign-off requests to Client
If a works docket is received from a job but hasn't been signed-off by the client on-site, you can request the client sign off digitally. This can either be automated to occur every time, or notifications can be sent manually.
Enable automatic client sign-off notifications
Navigate to My Company on the sidebar
Select the Branding tab
Select a brand
Scroll down to Site Contact Messaging
Enable toggle switches for 'Automatically notify site contacts for works docket remote sign-off' and 'Automatically notify the job requester for works docket remote sign-off' as desired
Click Save
Note: Notifications will be sent according to the format specified in the below dropdown list. Contact method to use when contacting site contacts.
Set Contact-Specific Notification Settings
Navigate to Clients on the sidebar
Go to the Contacts tab
Select a Contact
Under Works Docket Notifications you can change the contact's notification preference to “Always Send” remote docket sign-off requests to this contact, or to “Never Send” them.
Click Save
Manually Request a Digital Sign-Off
You can also manually send one-off remote sign-off requests to specific client contacts. This also allows you to send follow-up notifications if necessary.
Navigate to Bookings on the sidebar
Select the desired Booking
Click the Details button
Select the Dockets tab
Request client sign-off
Choose which client you would like to send the sign-off request to
Click Send
Signing Off a Job Docket
Once a job docket is received and you are happy with the hours submitted, the job docket can be signed off.
Navigate to Billing on the sidebar
Go to the Billable Bookings tab
Select the Job
Click the Dockets tab
Tick the Sign Off box
Click Save
Alternatively, you can sign off dockets through the bookings board
Navigate to Bookings on the sidebar
Select the desired Booking
Click Details
Go to the Dockets tab
Tick Sign off
Click Save
