Sending Docket Sign Off Requests To Clients

Learn how the notification system lets client contacts remotely sign off on unsigned work dockets from the field

If a work docket is received for a job but hasn't been signed off by the client on-site, you can request the client to sign off digitally. This process can either be automated to happen automatically each time or triggered manually through notifications.


Enable Automatic Client Sign Off Notifications

  1. Navigate to My Company on the sidebar

  2. Click on the Branding tab

  3. Select a branding

  4. Under Site Contact Messaging enable toggle switches for 'Automatically notify site contacts for works docket remote sign-off' and 'Automatically notify the job requester for works docket remote sign-off' as desired.

  5. Click Save

Note: Notifications will be sent according to the format specified in the below dropdown list, Contact method to use when contacting site contacts.


Set Contact Specific Notification Settings

  1. Navigate to Clients on the sidebar

  2. Click on the Contacts tab

  3. Select a contact or create a new contact

  4. Under Works Docket Notifications you can change the contact's notification preference to “Always Send” remote docket sign-off requests to this contact, or to “Never Send” them

  5. Click Save

By default, each contact’s notification preference will be set to “Use Brand Settings”

How It Works

The system uses the booking’s site contacts and the job requester to check both the Site Contact Messaging settings (under Brand settings) and the individual Works Docket Notification settings for each site contact. Based on these settings, notifications will be sent to all those set to receive them.

Note: Only one client contact is required to remotely sign off the works docket. Once signed off, any other contacts who access the link will be able to see who signed it off and when.


Manually Request Digital Sign Off

You can also manually send one-time remote sign-off requests to specific client contacts. Additionally, this feature lets you send follow-up notifications if needed.

  1. Navigate to Bookings on the sidebar

  2. Select the desired Booking

  3. Click the Details button

  4. Select the Dockets tab

  5. Press Request Client Sign-Off

  6. Choose which Client Contact you would like to send the sign-off request to

  7. Click Send
