This article explains the booking work flow.

When creating a booking, it progresses through several stages. These stages are colour coded to easily identify the progress the booking has made before it reaches its last stage of being finalised.

Understanding Each Stage of Bookings

Unconfirmed

This is the first stage and the draft version of the booking. During this phase, you can freely add or remove items without triggering any notifications to the involved parties. This stage is primarily used for planning bookings where client confirmation is still pending, allowing you to make adjustments and finalize details as necessary before moving forward.

Confirmed

At this stage, the booking has been confirmed by your client, and the booking is set to proceed. A booking confirmation is sent to your client contact, along with a hyperlink that provides access to all booking details, which can be viewed throughout the duration of the booking. This includes viewing dockets and form submissions (Go to Setting up site contact communication method in My Company > Branding to set this up).

You can still make edits to resources and details without triggering notifications to employees.

Locked

Once resources are allocated to the booking, you can move the booking to locked, and notifications are sent to individuals to accept or decline the booking request. At the locked stage, the booking is considered live, and any changes made are communicated to app users.

Conflict

This stage means an employee has declined the booking request. The office staff must remove that employee and assign a different resource to the booking. A new request will be sent to the new resource, and the booking will be updated accordingly.

Green to Go (GTG)

All individuals and resources have confirmed their participation through the booking request. With all confirmations in place, the booking is now ready to proceed as planned.

Completed

24 hours have passed since the booking's scheduled start time. At this point, the job dockets have not yet been signed off or submitted for office acceptance.

Finalised

The booking is complete, and the job dockets have been signed off by the office staff.

Cancelled

The booking was cancelled outside of the late cancellation window. There will be no charges incurred by the client.

Late Cancellation

The booking was cancelled within the late cancellation window. A late cancellation fee will be charged to the client.
