Introduction to payroll with Xero

Traffio offers a payroll integration with Xero. Payroll figures are sent from Traffio to Xero using Xero's Timesheets.

To do that, Traffio grabs the following information from Xero:

  • Employees - to match with employees in Traffio. This allows us to put timesheets together for each individual employee.

  • Payroll Calendars - which are used to align Traffio's pay run dates with the Xero calendar chosen in your payroll cost centre.

  • Earnings Rates - which are used to put together line entries in employees' Timesheets.


Starting the integration

To start integrating your payroll with Xero, please follow the steps below.

Note: you can only do this when your Traffio account has access to payroll. Contact your manager if you do not have this access when you are supposed to. They will be able to grant you access through the access levels.

  1. In Traffio, go to Payroll on the left, and Payroll Cost Centres at the top.

  2. Open your cost centre. If you do not have one, you can create a new one using the button on the top-right.

  3. Set the Accounting Package to Xero and press Save (or Create).

  4. Press the Connect to Xero button that will appear. This will open Xero's login screen in a new browser tab.

    โ€‹If the new tab does not open automatically, your browser likely prevented it from happening. Please check if there is a pop-up blocked icon on the far-right of your browser's address bar, and click on it to allow pop-ups. Then push the Connect to Xero button again.

  5. Follow the instructions on Xero's login screen. You have to select which organisation in your account you would like to link to Traffio, and press Continue. If you have already previously given Traffio access to the organisation, you can simply press the Continue with 1 organisation button.

  6. You will be brought back to Traffio, which will automatically initiate a sync with Xero. This will pull in all the relevant payroll details from Xero. The Connect to Xero button will be replaced with a Disconnect from Xero button, allowing you to terminate the integration at any point in time.

  7. When that is finished, choose your Xero payroll calender in the Pay schedule section and press Save again. Any pay runs made for this cost centre going forward will stick to that schedule's dates, to ensure they can be pushed into Xero.
