Setting up documents in your company, depots, clients and projects

When uploading documents or files to Company, Depot, Client, or Project, the same procedure is followed, though it is applied in different sections depending on the area. This determines who will have access to the uploaded documents.


Setting Up Company Documents

Company documents are available through the app and can be accessed by anyone, regardless of specific bookings, projects, clients, etc.

Uploading a File

  1. Navigate to My Company on the sidebar

  2. Select the Company Document tab

  3. Select Click or Drop Files Here

  4. Choose the Document you want to upload

  5. Add File Title and File Description (optional)

  6. Select the Document Type

  7. Toggle on or off Optional (Documents not marked 'optional' will be attached to all bookings by default)

  8. Set File Expiry (optional)

  9. Click Upload


Setting Up Depot Documents

The same procedure as company documents is used to upload depot documents. These documents will be visible only to staff members of that specific Depot and clients who have permission to access that depot.

Uploading a File

  1. Navigate to My Company on the sidebar

  2. Select the Depots tab

  3. Click the desired Depot

  4. Scroll down to Depot Files

  5. Select the Click or Drop Files Here grey box

  6. Choose the desired Document

  7. Add File Title and File Description (optional)

  8. Select the Document Type

  9. Toggle on or off Optional (Documents not marked 'optional' will be attached to all bookings by default)

  10. Set File Expiry (optional)

  11. Click Upload


Setting Up Client Documents

The procedure for uploading client documents is the same as for company documents. However, these client documents will only be visible to staff members of the associated depot and clients who have permission to access that specific depot.

Uploading a File

  1. Navigate to Clients on the sidebar

  2. Select the desired Client

  3. Scroll down to Client Files

  4. Select the Click or Drop Files Here grey box

  5. Choose the desired Document

  6. Add File Title and File Description (optional)

  7. Select the Document Type

  8. Toggle on or off Optional (Documents not marked 'optional' will be attached to all bookings by default)

  9. Set File Expiry (optional)

  10. Click Upload


Setting Up Project Documents

The procedure for uploading project documents is the same as for company documents. These documents will appear only to employees and clients working on that project.

Uploading a File

  1. Navigate to Clients on the sidebar

  2. Select the Projects tab

  3. Select the desired Project

  4. Scroll down to Project Files

  5. Select the Click or Drop Files Here grey box

  6. Choose the desired Document

  7. Add File Title and File Description (optional)

  8. Select the Document Type

  9. Toggle on or off Optional (Documents not marked 'optional' will be attached to all bookings by default)

  10. Set File Expiry (optional)

  11. Click Upload


Document Visibility

By default, documents will adhere to the visibility permissions set for the document type they are uploaded as. However, these default restrictions can be customized and adjusted on a document-by-document basis.

How To Change Document Visibility

Depending on which type of document you are wanting to change, these steps may vary slightly.

  1. Navigate to desired section (My Company or Clients) on the sidebar

  2. Select the desired tab (Company Document, Depot, Client, Project)

  3. Select the desired Document

  4. Toggle on or off the visibility to Workers or Clients (If hidden from Clients and Workers, this document will only be visible to management)

  5. Click Save


Document Expiry Date

For documents with a lifespan, you can set expiry dates to track when they expire. Documents with an expiry date will also alert you 30 days before they are set to expire.

How To Add Document Expiry Date

  1. Open the desired Document

  2. Add File Expires On date

  3. Click Save
