Travel Time Allowance

This article goes over the travel time allowance in the EBA

In Traffio, allowances are calculated separately from the employee's hourly salary rates and are considered an additional value.

On the EBA detail page, scroll down to the 'Rates & Allowances Display Columns' table.

When you enable the "Travel Time Allowance" toggle, an additional settings block will appear at the bottom.

The travel allowance dropdown contains 7 options, which will be explained below:

Dropdown Options

No One

No one gets this travel time allowance

Everyone

Everyone gets this travel time allowance

Non Take Home Driver

Only drivers that pickup a vehicle from the depot (non-take home) get travel time

Take Home Driver

Take home drivers get travel time allowance

Take Home and Non Take Home STS

Individuals who have a take-home vehicle (including vehicles not used on the job) and those without a take-home vehicle who are marked as "straight-to-site" are eligible for the travel allowance if they meet either of the following conditions:

  • Non Take-Home: A person is considered "non take-home" if they do not have a vehicle assigned to their profile. The vehicle does not need to be assigned to the booking for this to apply.

OR

  • Non Take-Home: A person is considered "non take-home" if they do not have a vehicle assigned to their profile. The vehicle does not need to be assigned to the booking for this to apply.

  • STS: A person is considered "straight-to-site" if the "STS" button is selected in the booking.

Everyone except Non Take Home STS

Everyone gets travel time except those without a take home vehicle who are marked straight-to-site

Company vehicle and non take home STS beyond threshold KMs

Those who start at the depot (i.e. transport is provided to site) get travel time. Those marked to go straight-ot-site get time if a) they have a take home vehicle, or b) do not have a take home vehicle but must travel beyond the KM threshold to get to site

Common Terms Used

Take Home

A person is considered to have a "take-home vehicle" if a vehicle is assigned to their profile. This applies even if the vehicle is not assigned to the booking.

Non Take Home

A person is considered "non take home" if they do not have a vehicle assigned to their profile. The vehicle does not need to be assigned to the booking for this to apply.

Drivers

A person is considered a driver if the "Driver" button is selected in the booking.

Passenger

A person is considered a passenger if they are listed under a vehicle in the booking tile on the booking board.

'STS' straight-to-site

A person is considered straight-to-site if the "STS" button is selected in the booking.


Travel Time Source

This dropdown controls where the travel time allowance is pulled from.

  • Docket: Travel time is based on the 'travel' value entered on a person's docket.

  • Calculated: Travel time is calculated using Google's mapping features to determine the most direct route.

  • Dynamic by STS: 'Calculated' travel time is applied to individuals marked as 'straight-to-site,' while docket travel time is used for everyone else (e.g., those starting work at the depot).

  • Dynamic by STS and No Take Home: 'Calculated' travel time is used for individuals marked as 'straight to site' who do not have a take-home vehicle. Docket travel time is applied to all other cases.


No Travel Time if entitled to LAFHA

When enabled, a travel time allowance will not be provided if the employee is already receiving the Living Away From Home Allowance (LAFHA).

When disabled, the travel time allowance will be granted regardless of the employee's LAFHA status, ensuring they receive the meal allowance even if they are already receiving LAFHA.


Time Rounding & Minimum Travel Time (Hours)

Time rounding can be applied in 5, 15, or 30-minute increments. For instance, if 5-minute rounding is selected, a travel time of 17 minutes will be rounded up to 20 minutes.

Minimum travel time hours refer to the required minimum amount of travel time that must be worked in order to qualify for the allowance.


Threshold Options

Distance

If set to 'Distance,' employees must also meet the criteria outlined in the 'Travel distance threshold options' section in order to receive travel time.

Travel Time Option OR Distance Threshold

When enabled, employees must meet the travel time conditions above OR the distance threshold requirements, but is not required to meet both in order to get the allowance.

Travel Time Beyond Threshold

When enabled, travel time is calculated from the travel occurring beyond the distance threshold.
Note: This does not apply to travel time sourced from the docket.

Time

If set to 'Time,' employees are only eligible for travel time that exceeds the value specified in the 'Time threshold' field.

The threshold, in hours, at which the travel time will begin to be paid in one direction of travel.

E.g. If the total travel time is determined to be 1 hour (in both directions) and the value for this threshold is set to 0.25 (15 minutes), the travel time given will be 30 minutes.
