In Traffio, allowances are calculated separately from the employee's hourly salary rates and are considered an additional value.

On the EBA detail page, scroll down to the 'Rates & Allowances Display Columns' table.

When you enable the "Travel Distance Allowance" toggle, an additional settings block will appear at the bottom.

Travel Distance Allowance Dropdown Menu

The travel allowance dropdown contains 4 options, which will be explained below:

Dropdown Options

No One

No one gets this travel distance allowance

Everyone

Everyone gets this travel distance allowance

Non Take Home STS

Those who do not have a take home vehicle and are marked to go straight-to-site

No Company Vehicle

Those who have not been provided with a company vehicle i.e. those without an assigned vehicle or a passenger/driver of a scheduled vehicle

Common Terms Used

Take Home

A person is considered to have a "take-home vehicle" if a vehicle is assigned to their profile. This applies even if the vehicle is not assigned to the booking.

Non Take Home

A person is considered "non take home" if they do not have a vehicle assigned to their profile. The vehicle does not need to be assigned to the booking for this to apply.

Passenger

A person is considered a passenger if they are listed under a vehicle in the booking tile on the booking board.

Example

Passenger:

'STS' straight-to-site

A person is considered straight-to-site if the "STS" button is selected in the booking.

KM's Per Allowance Unit

This refers to the number of kilometres needed to qualify for each unit of the allowance.

For example, if 15 is entered, the person will be entitled to one unit of the allowance for every 15 kilometres they travel.

One Direction

When enabled, the allowance is calculated based on the distance travelled in one direction.

Round Allowance Unit Up

When enabled, the allowance units are rounded up; otherwise, they are rounded down.

Include Mobile Work Site Distance

When enabled, the total distance travelled across all mobile work sites will be included.

No Travel Distance Allowance if entitled to LAFHA

When enabled, a travel distance allowance will not be provided if the employee is already receiving the Living Away From Home Allowance (LAFHA).

When disabled, the travel distance allowance will be granted regardless of the employee's LAFHA status, ensuring they receive the meal allowance even if they are already receiving LAFHA.

Must Exceed Distance Threshold

When enabled, employees must satisfy the criteria outlined in the 'travel distance threshold options' section to qualify for the calculated travel distance.

Travel Distance Beyond Threshold

When enabled, employees will only receive the calculated distance that exceeds the threshold.

Travel Distance Threshold Options

These settings apply to both the 'Travel Distance Allowance' and the 'Travel Time Allowance' (when the 'Distance threshold' option is used).

Distance Threshold (KMS)

The corresponding allowance is applied if the distance travelled (including mobile work sites) in one direction exceeds this threshold.

Calculated From

The starting point from which the distance is calculated to the booking location.

  • From the Booking's Depot: The depot marked on the booking

  • From the Employees Residence: The address marked on their person profile

  • Dynamic by STS: 'Calculated' travel time is applied to individuals marked as 'straight-to-site,' while docket travel time is used for everyone else (e.g., those starting work at the depot).

(Note: Dynamic by STS uses the residence-origin when the person is marked as STS and depot-origin otherwise)

Origin to Booking Calculation Method

The method used to determine the distance between the origin and the booking location.

  • Straight Line: Travel time is calculated using Google's mapping features to determine the distance between origin and booking location

  • Most Direct Route by Road: Travel time is calculated using Google's mapping features to determine the most direct route
