Use pre/post site payable hours (Traditional Award)

This article explains how pre/post payable hours work

Written by Traffio

When you have enabled pre/post payable hours, it provides you with the ability to pay your employees a different rate on-site vs. off-site (pre site and post site).

The new pre/post payable hours will share the same threshold limits as the hours on-site but allow you to pay a different rate.

Set up

To set it up, select 'Payroll' from the left menu panel, then select 'EBA' from the top banner menu, and create a new EBA or edit an existing one.

Scroll down to the header 'Pre/Post site payable hours'

Toggle on ‘use pre/post site payable hours’.

Once enabled, the dropdown condition will be editable and a slider will display below.

Conditions

'Everyone' condition

Translates to:

  • IF

    • No condition - all employees will receive this configuration

    • THEN

      • The shift duration will be split into pre-site, site, and post-site. Additional payable hours will be available to map a different rate. The same threshold limit will apply across pre/post site and site hours. The pre-site start time and the post-site end time will use the new slider.

'Meet at depot' condition

Translates to:

  • IF

    • The person allocated to a booking is not marked straight-to-site (STS)

    • THEN

      • The shift duration will be split into pre-site, site, and post-site. Additional payable hours will be available to map a different rate. The same threshold limit will apply across pre/post site and site hours. The pre-site start time and the post-site end time will use the new slider.

  • ELSE

    • The shift will use the standard payable hours and use the start/end times from the Straight to site slider.

'Meet at depot and is a (driver or passenger)' condition

Translates to:

  • IF

    • The person allocated to a booking is not marked straight-to-site (STS)

    • AND

    • The person is allocated to a vehicle in the booking (driver or passenger)

    • THEN

      • The shift duration will be split into pre-site, site, and post-site. Additional payable hours will be available to map a different rate. The same threshold limit will apply across pre/post site and site hours. The pre-site start time and the post-site end time will use the new slider.

  • ELSE

    • The shift will use the standard payable hours and use the start/end times from the Meet at depot or Straight to site slider.

Payroll display columns

The new payroll display columns include:

  • Pre/post day ordinary

  • Pre/post day overtime

  • Pre/post day extra overtime

  • Pre/post night ordinary

  • Pre/post night overtime

  • Pre/post night extra overtime

  • Pre/post public holiday ordinary

  • Pre/post public holiday overtime

  • Pre/post saturday ordinary

  • Pre/post saturday overtime

  • Pre/post saturday extra overtime

  • Pre/post sunday ordinary

  • Pre/post sunday overtime

When the 'Use pre/post site payable hours' toggle is enabled, by default, the toggle under the "show" column will be activated. And vice versa, when the toggle is disabled, the payroll display columns for pre/post will be hidden and deactivated.

Example scenarios

Example 1: Long day shift

Day ordinary limit = 8 hours

Arrive at depot = 08:00

Leave depot = 09:00

Start on site = 09:30

Finish on site = 16:30

Return to depot = 17:00

This translates to the rate allocation below:

08:00 - 09:30 = 1.5 hrs pre/post day ordinary

09:30 - 16:00 = 6.5 hrs day ordinary

16:00 - 16:30 = 0.5 hrs day overtime

16:30 - 17:00 = 0.5 hrs pre/post day overtime

Example 2: Split shift (day/night)

Day timeframe 06:00 - 18:00

Day ordinary limit = 8 hours

Night ordinary limit = 2 hours

Night overtime limit = 2 hours

Use Weekday shift (split day/night) = enabled

Simple split setting = enabled (threshold limit starts from zero following split)

Leave depot = 15:00

Start on site = 16:00

Finish on site = 22:00

Return to depot = 23:00

This translates to the rate allocation below:

15:00-16:00 1 hr pre/post day ordinary

16:00-18:00 2 hrs day ordinary

18:00-20:00 2 hrs night ordinary (18:00 night starts)

20:00-22:00 2 hrs night overtime (2 night threshold reached)

22:00-23:00 1 hr pre/post night overtime

FAQ

How do the start/end time overrides in the pay run work?

When using pre/post payable hours, the start/end overrides in the pay run only reflect the time on-site. To update the pre/post times, open the corresponding docket and manually change the time.
